About the Opportunity
Portfolio Manager will oversee all aspects of managing a portfolio of sectional title schemes and Home Owners Associations (HOAs), ensuring legal compliance, financial health, and effective stakeholder relationships.
Responsibilities
- Financial Management:
- Preparing, managing, and presenting annual budgets for each property.
- Monitoring cash flow, operational expenses, and levy collections.
- Reviewing monthly financial statements (P&L) and reporting to trustees and stakeholders.
- Ensuring schemes are properly insured, and premiums are paid timeously.
- Administration & Compliance:
- Ensuring strict adherence to relevant legislation and community scheme rules.
- Facilitating the compilation and lodging of management and conduct rules with the Community Schemes Ombud Service (CSOS).
- Maintaining and updating accurate records, archives, and databases for all properties.
- Managing general administration tasks, including bulk communication and correspondence.
- Meetings & Stakeholder Relations:
- Coordinating, preparing documentation for, and attending trustee and Annual General Meetings (AGMs).
- Accurately recording and distributing meeting minutes and ensuring action items are completed timeously.
- Acting as the primary contact point for property owners, trustees, and service providers.
- Property & Maintenance:
- Overseeing property maintenance, repairs, and improvements.
- Managing on-site staff where applicable.
- Ensuring all contractors are compliant and work is cost-effective.
- Lead Generation & Sales:
- Research and identify potential new sectional title schemes, developers, and body corporates.
- Initiate contact through various methods to arrange meetings and present proposals.
- Develop compelling business proposals, pricing structures, and presentations for potential clients.
- Negotiate terms of managing agent agreements.
Key Requirements & Skills
- Experience: A minimum of 5 years of experience in sectional title or HOA property management is required.
- Qualifications: Matric certificate essential, business or financial qualification advantageous. Paddocks Certificate highly valued.
- Skills:
- Strong knowledge of South African sectional title legislative framework.
- Excellent communication, interpersonal, and problem-solving abilities.
- Exceptional organizational skills and attention to detail.
- Computer literacy in MS Office, Google Workspace, property management software.
- Valid driver's license and own reliable transport often required.
