About the Opportunity

Okinawa Institute of Science and Technology Graduate University (OIST) was established in 2011 to contribute to the advancement of global science and technology and serve as a hub for innovation in Okinawa. OIST offers a 5-year doctoral program and conducts cutting-edge scientific research collaboratively with outstanding researchers across disciplines and nationalities. Situated amidst 85 hectares of natural landscapes overlooking beautiful coastlines and coral reefs, the campus features impressive architectural designs that blend with nature to create an environment conducive to interdisciplinary research.

Responsibilities

  • Monitoring progress of research and development projects within the center
  • Ensuring efficient operation of the center
  • Coordinating with researchers within the center and facilitating communication with key stakeholders
  • Assisting in the preparation of documentation for submission to funding agencies and other relevant parties
  • Managing the budget for the COI-NEXT project and collaborating with other departments and organizations for issue resolution
  • Planning, preparing, and overseeing internal and external meetings, including visitors from government, academia, and industry
  • Supporting public relations and promotional activities related to COI-NEXT
  • Organizing and maintaining various records, files, data, and reports, including confidential information
  • Collaborating across departments with the Faculty Affairs Office and OIST Innovation for cross-functional task execution

About You

Eligibility:

  • Minimum of 3 years of administrative experience
  • Solid skills in Microsoft 365 applications (Word, PowerPoint, Excel)
  • Experience in document organization and management
  • Excellent communication skills in English (equivalent to TOEIC score of 900 or above)
  • Strong time management, multitasking, teamwork, and organizational skills

Preferred:

  • 5+ years of administrative experience in an international environment
  • Communication skills in Japanese
  • Experience working in an academic setting
  • Practical knowledge of governmental administrative procedures
