Job Description
Project Coordination and Monitoring
Tracks project schedules, deadlines, action items, deliverables, and approvals.Set up and maintains projects in internal project-management systems.Ensures that project information, records and supporting documents are accurate and up to date.Coordinates travel arrangements and related administrative requirements.Ensures that required documents, information and approvals are obtained on time.Coordinates information flow among customers, technical experts and colleagues across different countries.Follows up with the relevant parties to ensure the timely completion of agreed actions and deliverables.
Team Administration and Meeting Support
Coordinates internal and external meetings and other team requirements.Prepares meeting materials, records accurate meeting minutes and follows up on agreed actions.Supports vendor administration, order processing and invoice follow-up using ERP systems such as SAP.Provides general administrative and operational support to the Hong Kong Rail team.
Salesforce and Commercial Administration
Maintains accurate and up-to-date customer, opportunity and project information in Salesforce and other internal systems.Monitors data completeness and follows up on missing or outdated information.Creates orders or supports order processing.Supports invoice preparation and payment follow-up.
Quality Management and Document Control
Creates, updates and maintains project files, customer records, project references and team documentation.Reviews documents and records for accuracy, completeness and consistency.Supports internal quality-management activities, audits, document control and compliance records.Ensure that documents are properly organized, approved and filed.
Proposal, Tender and Business Support
Supports the preparation and professional formatting of proposals, quotations, presentations, reports and tender submissions.Updates marketing materials, company credentials and project-reference lists.Supports exhibitions, customer meetings and other team activities according to business needs.

Performs other duties as assigned.
Job Requirements
Diploma or above in business administration, project management, engineering, communications or a related discipline.Fresh graduates are welcome to apply.Strong practical proficiency in Microsoft Office, particularly:PowerPoint: preparing clear, professional and well-formatted presentations.Excel: using formulas, tables, filters, charts and basic data analysis.Word: formatting professional proposals, reports and business documents.Outlook and Teams: managing correspondence, meetings and collaboration effectively.Candidates must be able to demonstrate their Microsoft Office proficiency during the selection process through a practical assessment or relevant work samples.Strong attention to detail and ability to identify errors, inconsistencies and missing information.Able to produce accurate and professionally formatted work with minimal supervision.Able to manage multiple assignments, prioritize deadlines and follow tasks through to completion.Organized, dependable, and comfortable taking ownership of assigned work.Comfortable learning new systems and working independently.Strong communication and interpersonal skills.Good speaking in both English and MandarinWillingness to support regional activities and colleagues across different countries.
