Project Coordinator

Department: Operations & Systems Reports to: Acting Chief Operating Officer (COO) / Head of Operations Location: Ho Chi Minh City, Vietnam Position: Full-Time As a Project Coordinator at Shutta, you serve as the central operational hub, working directly under the wing of the Acting COO. You are the daily enforcer of our Hypothesis-Driven Design (HDD) workflows. Sitting at the intersection of Client Success, Performance Marketing, and Technology, you ensure the smooth day-to-day execution of ongoing retainer accounts and ad-hoc projects. Your primary mandate is to maintain delivery standards, enforce operational discipline within ClickUp, and facilitate seamless communication so our teams can focus on what they do best. Core ResponsibilitiesAgile Project Coordination: Support the delivery lifecycle for multi-channel marketing campaigns, website builds, and technical initiatives. Assist in balancing ongoing client retainers with one-off projects, ensuring tasks hit quality standards on time.Systems Enforcement & Process Integrity: Enforce ClickUp as our single source of truth across all pods. Ensure every task, deliverable, and dependency is logged, assigned, and tracked.Cross-Functional Orchestration: Facilitate communication between developers, performance marketers, UX designers, Data Analysts and the Acting COO. Help remove operational bottlenecks and organize agile sprint rhythms.Client Meeting Support: Attend key client meetings. You are responsible for capturing critical information, translating client feedback into actionable ClickUp tasks, and ensuring internal follow-ups are executed flawlessly. What We Are Looking ForExperience: 3+ years of project coordination, account executive, or operational experience in a digital agency, tech firm, or software environment.Language Fluency: Exceptional written and spoken English to coordinate with internal pods and stakeholders.Systems Literacy: Demonstrated experience with agile workflows and project management platforms (ClickUp experience highly preferred).Shutta Mindset Alignment: Demonstrates High Coachability, Proactive Curiosity, an Agile Mindset, and a Collaborative Spirit. Brings a strong level of professional maturity and organizational gravitas to bridge the gap between execution pods and senior leadership.
