Project Coordinator – Luxury Hospitality (Joinery & Fit-Out)

About the Opportunity

Tripod Global is seeking a highly organized and detail-oriented Project Coordinator to support the delivery of high-end luxury projects. As a specialist in bespoke joinery and fit-out, we work with leading designers and brands to create exceptional hospitality environments across hotels, restaurants, and lifestyle destinations. This role is integral to ensuring the seamless coordination of projects from design development through production, installation, and final handover. The successful candidate will act as a key link between design, factory, and site teams—ensuring precision, quality, and adherence to timelines at every stage.

Responsibilities

  • Coordinate luxury hospitality fit-out and bespoke joinery projects from concept through to completion
  • Develop and maintain detailed project schedules, including design, production, and installation phases
  • Track progress across internal teams and site activities, ensuring alignment with deadlines
  • Identify and escalate risks related to fabrication, logistics, and site execution
  • Review and coordinate joinery shop drawings, technical details, and material specifications
  • Ensure design intent is accurately translated into production and site execution
  • Liaise closely with factory teams to monitor production progress and resolve technical issues
  • Coordinate mock-ups, prototypes, and material approvals
  • Support communication between clients, consultants, contractors, and internal teams
  • Prepare project updates, reports, and presentations for client meetings
  • Assist in procurement of materials, hardware, and subcontracted works
  • Track supplier timelines, deliveries, and performance
  • Maintain accurate project documentation including drawings, submittals, RFIs, and reports
  • Ensure adherence to Tripod Global’s quality standards and project specifications
  • Support site inspections to monitor workmanship and finishing quality
  • Assist with snagging, testing, commissioning, and handover documentation

Qualifications & Skills

Proven experience as a Project Coordinator within luxury retail, interior fit-out, or high-end construction. Strong understanding of retail processes, mall regulations, and luxury brand requirements. Proficiency in AutoCAD, SketchUp, Adobe Illustrator, Microsoft Office Suite, and project management tools. Strong organizational, leadership, and multitasking abilities. Excellent communication and client-facing skills. Ability to manage multiple projects in a fast-paced, deadline-driven environment.

Education & Certifications

Bachelor’s degree in Project Management, Construction Management, Architecture, Interior Design, Engineering, or a related field.
