Role Overview

We are looking for a meticulous and proactive Junior Project Coordinator to join our team in Singapore. You will be the "glue" that holds our projects together, ensuring that all administrative tasks, schedules, and communications are handled efficiently. You will work under the guidance of our Project Managers to support the successful delivery of local and regional projects.

Responsibilities

  • Administrative Support: Organize, attend, and participate in stakeholder meetings. Document and distribute Meeting Minutes (MOM) and action items to ensure everyone is on track.
  • Schedule Monitoring: Update project calendars and ensure that team members are aware of upcoming deadlines and milestones.
  • Documentation Management: Maintain a centralized project filing system (e.g., SharePoint, Google Drive, or Confluence). Ensure all project assets and contracts are up-to-date.
  • Task Tracking: Use project management software (e.g., Monday.com, Trello, or Jira) to monitor task completion and flag any potential delays to the Project Manager.
  • Vendor & Stakeholder Liaison: Assist in coordinating with external vendors and internal departments (Finance, Ops, Marketing) to ensure smooth resource flow.
  • Reporting: Help compile data and prepare slide decks for monthly project review meetings.
  • Problem Solving: Assist in resolving minor project issues and administrative bottlenecks to keep the workflow moving.

About You

Requirements

  • Education: Diploma or Degree in Business Management, Communications, or a related field. (Fresh graduates are encouraged to apply).

Skills

  • Organizational Skills: Exceptional ability to multitask and manage competing priorities.
  • Tech Savvy: Proficiency in Microsoft Office (especially Excel for tracking and PowerPoint for presentations).
  • Communication: Strong verbal and written English is essential for professional correspondence in Singapore.

Experience
