Project Coordinator

Job Description

Primary Function Of The Job

Responsible for supporting specific activities or work tasks of projects – acting under the direction of the responsible program or project manager.

Responsible for supporting project operations in data acquisition, processing, and consolidation, document control, customer correspondence and letters management.

Responsible for supporting internal and external meetings, logistics, travel arrangement, and performing a variety of admin tasks to help operations run efficiently.

Track and disposition project information to support overall project success

Perform project status tracking and reporting by working closely with team to gather task status input; track requirements completion; perform schedule maintenance; track risks and report their status; track project finances such as labor charges, invoices, and purchase orders; and develop cost reports.

Project executing, monitoring and controlling

Based on project plan, follow department protocols for supporting team members as needed to complete the work. Support delivery of all aspects of project including scope, schedule, cost, risk, procurement, quality, resources, communications, and stakeholders. Support project manager to Interpret and transmit project/contract requirements, and subsequent changes, to functional groups following an integrated change management process. Coordinate project communications with project manager. Help maintain project databases, systems and procedures to ensure efficient handling and transmission of project correspondence and documentation between project team members.

Perform administration works, document management and operation data processing

Coordinate and document meetings, track action items, and track document/information flow. Support PM function on customer meeting preparing. Including invitation letter drafting, VISA application and travel arrangement. Collect meeting agenda, meeting presentation, record meeting minutes. Take role as correspondence lead in China PM function. Check all incoming project letters, on time update project letter into WEC working flow. Tracking WEC response customer letters on time. Maintain onshore letter log, tracking letter status. Archive letters to system and send to related customer accordingly. Support to check document information and track documents transmitted by onshore/offshore. Support to convert monthly project resources demanding data to resources needs from Global Operation Service by using tools and procedures, guided by operation manager.

Develop positive relationships with team, customer, suppliers, Westinghouse in-country representation (for international projects), and other stakeholders to drive project to successful completion.

Minimum Required

Education

Bachelor’s degree. Applicable disciplines are Project Management, Engineering, Business, Construction Management or related technical discipline.

Bachelor’s degree in Project Management, Engineering, Construction, Manufacturing or Business

Experience

2 years project management or controls experience or 2 years experience in technical role in power, chemical, oil & Gas or construction industry.

3 years of experience on project team, as project coordinator or support resource, in a technical industry such as engineering, manufacturing, nuclear or construction

KSA (Knowledge/Skills/Abilities)

Familiar with the Project Management Institute’s

Project Management Body of Knowledge.

Required Competencies

Communication Driving for Results Planning and Organization Strategic Thinking Teamwork

Strong interpersonal skills such as effective verbal and written communications, ability to lead team

members, able to develop relationships with internal stakeholders, able to make decisions and carry out

multiple tasks as assigned with minimal guidance

from supervisory project managers and mentors.

Intermediate knowledge of Microsoft Office tools. Knowledge and skill of project scheduling and cost management.

Demonstrated ability or understanding of the transformation of data to information for visual

reports; database concepts in order to manage data

within systems; the interaction of company functions

that are touch points to projects (Finance, Legal,

Quality, Supply Chain, etc.). High-quality

presentation skills.

Will be expected to complete assigned training in Westinghouse Systems, Procedures, and Policies

applicable to assignments.

Working technical knowledge of power plants. Experience working on Asia or international projects.

Certifications

Westinghouse Project Manager /Project Controller qualification completed. For external candidate, will complete project manager qualification within designated time period. Exemptions provided based on prior training and work experience.

PMI® Certified Associate in Project Management (CAPM®) certification or other equivalent project management certification completed or in progress. Project controls-related certification (scheduling, estimating, earned value, risk, etc.) will be viewed as a plus

Languages

Proficiency in English
