Responsibilities

What Will I Do?

Coordinate with the techncians and ustomer, and vendors to ensure work is completed timely and within codeSchedule and verify inspections Process purchase ordersStart to finish project administrative assistance to include, permitting, submittals, contracts, change orders, subcontracts, billing, inspections and final close outResponsible for company data management and record keeping systems, electronic and paperAssist with service set up, dispatch and trackingSetup and maintain vendor/subcontract accounts and information spreadsheetsPrepares reports, communications, meetingsUtilizes appropriate software/tracking systems to keep project information current and accessibleAssist with tool/truck inventory tracking/maintenanceProvide follow up assistance on the new hire processMaintain detailed status of projects assigned throughout the officeManaging and updating Department Policies and Procedures manualsPromote and foster teamwork and communication among all the servicesEnsure all files, records and correspondence for projects are prepared and maintainedDeals with confidential and proprietary information on a regular basis and must be able to exercise discretion and maintain confidentialityManage difficult or emotional customers or employee situations; makes customer satisfaction a top priorityMay perform additional administrative duties as requiredPerforms all duties in conformance to appropriate safety and security standardsThis position is expected to uphold the mission and values established by the organization

Qualifications

Do I have What it Takes?

High School diploma or GED3 years of office administration experiencePrior administrative experience in plumbing, HVAC, Electrical or refrigeration services is a plusAbility to efficiently multi-task and manage rapid change with interruptions while consistently seeing the big picture and anticipating customer needsOutstanding interpersonal skills with the ability to effectively communicate and work with individuals and groups at all organization levels; ability to work independently and as part of a teamSuperior customer service and communication skills, both verbal and writtenExcellent critical thinking, organizational and planning skillsVery strong attention to detailProficient using MS Outlook, email, Excel, Word, PowerPointFlexibility to work beyond the regular work schedule
