Job Description

We are looking for a detail-oriented and proactive Project Administrator / Project Coordinator to support the successful execution of lighting projects. This role involves coordinating project activities, maintaining documentation, supporting procurement, and liaising with both internal teams and external stakeholders to ensure smooth and timely project delivery.

Key Responsibilities

  • Coordinate day-to-day project activities, resources, and schedules to support timely project execution
  • Work closely with project managers, sales teams, and external stakeholders to define and document project requirements and deliverables
  • Monitor and track project progress, highlighting potential delays or risks
  • Maintain and organize project documentation, including schedules, plans, reports, and records
  • Assist in the preparation and submission of project-related documents such as quotations, tenders, and invoices
  • Support the procurement and delivery process by coordinating orders and ensuring timely receipt of project materials
  • Liaise with internal teams to facilitate smooth project handovers and address project-related queries
  • Coordinate and schedule meetings, site visits, and workshops as required
  • Prepare status updates and progress reports for internal and external communication
  • Ensure all administrative tasks related to projects are completed accurately and promptly
  • Maintain organized filing systems for project documents, correspondence, and records

Requirements

  • Diploma or equivalent qualification in Business Administration, Construction, Quantity Surveying, or a related field
  • Open to fresh graduates; candidates with 1–2 years of relevant experience will have an advantage
  • Strong organizational and multitasking abilities with a keen eye for detail
  • Good communication and interpersonal skills for both internal and external coordination
  • Proficiency in Microsoft Office (Excel, Word, PowerPoint); experience with project management tools is an advantage
  • Ability to work effectively under pressure in a fast-paced environment
  • A team player with a positive, solution-oriented attitude and the ability to work independently
