Position Overview

Bilingual Project Coordinator

As a Project Coordinator, you will be part of the Project Management Office (PMO) and report to the Portfolio Manager. Compugen’s Project Management Office is made up of a director, portfolio managers, program managers and more than 20 project managers as well as several project coordinators.

Your main responsibility will be to schedule and prepare the internal/client kick-off meeting and to similarly close-out meetings following the processes documented by the PMO. You will possess excellent multi-tasking skills to manage 30 plus projects at once which are less than 3 months in duration. You will be the escalation point for the customer and manage the change management process.

The candidate would report to a portfolio manager specializing in a particular practice such as modern workspace, managed services or networking and data center.

Due to the fact that some of the projects are for clients in Quebec and Ontario being functionally bilingual English-French is necessary for this position.

Key Responsibilities

  • Review SOW and pricing sheet
  • Validate that the tasks have been properly setup in PPMPro, an internal time tracking tool.
  • Prepare project repository in Sharepoint
  • Prepare and host internal and external kick-off meetings (30 min) with those including but not limited to: Managers, Account Executives, Consultants and external Customers including basic project schedule
  • Explain escalation path to customer
  • Create a contact list for the project with project responsibilities
  • Update the AEs/RMO of any delay or change to the project
  • Project Coordinators are Project Owners for Consultant time approval in PPM Pro
  • Receive Issue Escalations from customer/consultant and make recommendation to EM, cc AE
  • Manage the project change request process
  • Conduct project close-out meeting and inform Account Executive of the closure of the project
  • Send out CSAT and project closure letter
  • Store required documentation

Skills & Qualifications

  • 3 years of project planner/coordinator or project manager experience (or equivalent)
  • College diploma or university degree in related subject matter (information sciences, project management, etc)
  • Ability to multi-task, Self-organized
  • Detailed and outcome oriented
  • Desire to excel
  • Good communicator and ability to listen actively and take notes
  • Comfortable when making client presentations
  • Ability to follow processes/procedures
